Business Portal

Business Net Solutions provides a web-based Business Portal which gathers information from various people and computer systems around your business; allowing you to keep detailed records of all their activities; and to route that data between various administrators who take actions and make decisions.

You can use it for self-service document creation and storage; and also you can use it to push requests for information out to users via their email. It has a very powerful reporting capability, and you can either view dashboards and reports on-line to see information that is relevant to you, or else we can push that data out in richly formatted documents via email to the relevant decision makers in your business, and to your suppliers or clients.

Its user-facing business portal features the following:

  • User Access Control. The portal allows user Roles/Groups to be defined to segregate administrative or basic user roles. The roles and groups can be used to control menu link and page access, report access, administrative functions access, project management access.
  • Email. The portal allows saving of emails for each user. Emails can be used to broadcast document invites, and any client specific custom emailing function. In the future, the portal will be integrated directly with a mail server, allowing email addresses to be created and managed.
  • Admin functions range from menu structure definition, user and roles management, user groups management, defining Email templates for custom email broadcasts, site announcements on the home page and defining client applications
  • Document File Store. A document library function is available allowing users to share documents and other files with other users of the site. Role and group permissions can be used here to control the availability of the files.
  • Document Version History. Every change to a document is logged, so that users can see its full change history - even after changes in the document structure.
  • Document Change Control. There is a fine level of control over who can change different parts of a document, or who can add, edit, delete, or approve documents. (e.g. only directors can approve policy documents.)
  • Document Flow Control. It is possible to route documents between different users under different circumstances. This is useful when approval is required for an exceptional circumstance (e.g. an insurance claim exceeding a given limit).
  • Discussion Areas. Provides access to a forum-type facility that allows you to share thoughts and insight with colleagues inside your organisation.
  • Wikis. A built-in Wiki is available and is fully customisable by us or by the client. The wiki can be used to store company policies, documents, user guidelines, or practically anything that needs to be documented.
  • Templates are used to define a document's structure, which in turn is used to fulfil a specific project's requirements. Templates can be fully customised with a wide range of question types to address every possible scenario. Templates can also have built-in customised functions like emailing, or sending out reports, that we can set up for the client.
  • Custom Alerts. There are times when a particular condition needs to trigger some processing. For example, we can set up emails to be sent when particular documents are completed or we can email specific reports once a week.
  • Other web based services. At times services can be provided by third parties and their data integrated with the system. For example: Postcode validation; Route optimisation; and currency exchange rates. In addition we can integrate data feeds via FTP and secure FTP, for example to receive jobs from a client, or to receive tracking information from a courier.
